Transactional Email

What automated emails should the site send?

"Transactional emails" are automatic messages the site sends in response to a user action — for example: your inbox receiving a copy of a contact form submission, or a registrant receiving a ticket confirmation after signing up for an event. This section is about those behind-the-scenes emails, not your regular newsletters. No database needed for anything in this category² — each email fires the moment it's triggered and nothing is stored.

The site does not send any emails automatically. Any contact forms or signup forms will store submissions, but no email notification will be sent to you or to the user who submitted.

When someone submits the contact form on your site, their message lands directly in your email inbox — exactly like receiving a normal email. The reply-to address is set to the sender, so you can reply to them straight from your inbox without copying their address manually.

Visitors complete the payment there and are redirected back to your site. Works equally well for collecting donations, selling a single product, or taking a service deposit. No custom checkout page to build — quick to set up. Stripe's standard card processing fees apply (~1.4% + 20p per UK transaction).

Product or service shop — integrated Stripe checkout

A dedicated shop or product page built directly into your website — no redirecting to a third-party store. Each product or service listing has its own image, description, and price. Customers add to cart and pay securely via Stripe (card and Apple Pay) without ever leaving your site. Order confirmations are emailed automatically on purchase. Ideal for selling physical products, digital downloads, workshops, or consultancy packages. Note: Stripe's standard card processing fees apply (~1.4% + 20p per UK transaction) — separate from the development cost listed here. Scope note: this covers a small, straightforward catalogue (roughly up to a dozen items) with standard cart-and-checkout. A larger catalogue, tiered quantity discounts, digital delivery, or an affiliate programme is a meaningfully bigger build — scoped and quoted separately, not covered by this price.

Full donation system — one-off & recurring (full database required ¹)

A donation form built directly into your website — no redirecting to a third-party page. Donors choose a preset or custom amount and a frequency (one-off, weekly, or monthly). They can donate anonymously if they prefer. Automated thank-you emails are sent on completion. Recurring billing is handled securely by Stripe. Best suited to charities, community groups, and not-for-profit organisations. Note: Stripe's standard card processing fees apply (~1.4% + 20p per UK transaction) — separate from the development cost listed here.

Hosting & Deployment

How will the site be hosted once it's built — and who looks after it afterwards?

Hosting is what keeps your website live and accessible on the internet around the clock — think of it as renting space on a server. Without it, a finished website exists only on the developer's computer. There are four options below: two are hosting only, and two are ongoing Care plans that also cover work on the web application itself after launch. Note on domain names: regardless of which option you choose, your domain (e.g. www.yoursite.co.uk) is always purchased separately — typically £10–£20 per year from a registrar such as Hostinger, Namecheap, or GoDaddy.

Self-Deploy — your own hosting

I handle the full technical go-live process on a hosting account that you own and control — setting up the code repository, connecting it to your provider, configuring all environment settings (database connections, secret keys, domain), and verifying the site is live and stable. After setup, future code updates deploy automatically with no manual file uploads needed.

Your ongoing hosting costs are separate and paid directly by you to your chosen provider — typically £5–£20/month depending on the platform. This £120 is a one-time fee for my setup work only. I am not your ongoing host after this, and no maintenance on the web application is included.

Important to know

Domain name: Not included in either this fee or your hosting costs. Your domain is purchased separately — typically £10–£20 per year from a registrar such as Hostinger, Namecheap, or GoDaddy.
Recommended hosts: Hostinger (~£5–£10/month) is our own preferred platform — if you might want our help later, this is the easiest one for us to pick up and support. Vercel and Netlify also have generous free tiers, better suited to smaller, simpler sites.

I host your web application on your behalf. You pay £15 per month, covering server space, uptime, and infrastructure-level security patches — the same baseline care any responsible host provides. This does not include any work on the web application itself: content changes, bug fixes, and new features are all quoted individually when you need them.

Important to know

Occasional fixes: since this tier covers hosting only, any change to the web application is quoted individually — a simple text or image swap runs from £100, a small layout or content change from £200, and anything larger is quoted after a quick look. If you expect to need changes more than once or twice a year, a Care plan below will usually work out cheaper.
If you stop paying the monthly fee: I will give you advance notice before taking the site offline. You will always receive all source code and files so the site can be moved elsewhere.
If I stop freelancing: I will give you as much notice as possible and hand over all source code, database credentials, and a migration guide — so you or a new developer can move the site to any standard hosting provider.

This is a legal requirement and protects both of us.

Important to know

The Essentials/Full boundary in one line: Essentials covers changing what's already there — text and images. It does not cover changing how the site is built or fixing something that's broken — that's Care Ultimate.

Google Analytics integration

Set up GA4 tracking so you can see how many people visit, which pages are popular, and where your traffic comes from. A small piece of tracking code is added to your site and linked to a Google Analytics account in your name — giving you a dashboard to check your visitor stats at any time.

SEO metadata & sitemap

Each page gets a properly written title and description (what appears in Google search results), plus social sharing previews — so when someone shares a link to your site on WhatsApp, Facebook, or X, it shows a proper image, title, and summary rather than a blank card. Also includes an XML sitemap submitted to Google to help your pages get discovered and indexed faster.

Privacy notice & GDPR compliance pages

A complete, plain-English privacy policy page explaining what data your site collects, why, and how it is stored — as required under UK GDPR law. Includes a cookie consent banner and clearly labelled consent checkboxes on all forms. Any site that collects personal data (including contact forms and newsletter signups) is legally required to have this.

Database notes

^¹ Full relational database — included: Required for any feature that stores or retrieves structured data on the server: news/blog posts, event listings, event registrations (free or paid), newsletter sign-ups, donor records, or a shop order history. Built as a secure hosted database with access controls and row-level security. The database infrastructure is included in the price of the features that require it — there is no separate charge.

^² No database needed: A couple of features work without any server-side storage at all. A Stripe or PayPal payment link is hosted and recorded entirely on their own systems, not ours. Transactional emails (contact form, confirmations) are sent the instant they're triggered and never saved anywhere. Both can be added to a fully static site with no backend.

No extra fee — the database is included where it's needed, and simply not required where it isn't. It is flagged here so you understand what your selected features involve technically.
